After-hours call calculator

Enter your own numbers to estimate how much first-visit revenue is tied to after-hours calls each month. It's an estimate, not a forecast or a promise of results.

Your numbers

Example numbers — replace with yours. The starting values below are placeholders, not data from any study.

Estimated monthly revenue at risk: $2,598 (example numbers)

20 calls/week × 4.33 × 30% × 50% × $200 = $2,598 per month

That is about 87 after-hours calls a month, 26 new-patient or booking calls, and 13 that would book.

This is an estimate based only on your inputs. It is not a forecast or a promise of results.

How the estimate works

Monthly revenue at risk = after-hours calls per week × 4.33 weeks per month × % that are new-patient or booking calls × % of those that would book × average first-visit value.

4.33 is 52 weeks divided by 12 months. Every other number comes from you.

Where to find your numbers

  • After-hours calls per week: your phone carrier's or phone system's call log, filtered to calls outside your posted hours.
  • % new-patient or booking calls: count a sample of after-hours messages, or ask your front desk what share of morning callbacks are new patients or appointment requests.
  • % of those that would book: your own new-patient conversion from calls during business hours is a reasonable starting point.
  • Average first-visit value: the fee for a typical first visit from your own fee schedule, not lifetime value.

What this estimate doesn't tell you

It doesn't know how many callers would try again during business hours, how many would book elsewhere, or what follow-up visits are worth. It doesn't subtract any costs. And it doesn't predict what any service, including HaloDesk, would capture.

Use it to size the question: are after-hours calls worth a closer look for your practice?

Frequently asked questions

Is this a prediction of what I'll earn?

No. It's an estimate of first-visit revenue tied to after-hours calls, based only on the numbers you enter. It is not a forecast or a promise of results.

Where do the default numbers come from?

They are example numbers, not data from a study. Replace them with yours.

Why multiply by 4.33?

There are 52 weeks in a year and 12 months, so a month averages about 4.33 weeks.

Does it count existing patients?

Only if you include them in the share of booking calls. To focus on new patients, enter only the share of after-hours calls that are new-patient calls.

How much does HaloDesk cost?

$1,999 per month flat, month to month, with no setup fee. The annual plan is $19,990, billed up front.
