How can I stop losing new patients from missed weekend calls?
Make sure every weekend call reaches something that answers under your practice's name, captures the caller's request and callback number, and gets it to your team before Monday opens. Then call new-patient requests back first, while the caller is still choosing a practice.
Why weekends are different
From a Friday close to a Monday open is often more than 60 hours. A caller looking for a new dentist, orthodontist or med spa on Saturday morning has the whole weekend to keep looking.
Weekday evenings tell a similar story. When we called 807 practices, almost all in Manhattan, after posted closing in October 2026, 60.6% of the 795 connected calls went to voicemail, 12.3% reached a phone menu and 4.3% reached a live voice. Those were weekday evening calls, not weekend calls.
Step 1: Make your weekend hours accurate
Callers often check your Google Business Profile before they dial. Google lets you set special hours for holidays and other one-off changes, and recommends confirming holiday hours even when they match your regular hours. If you're closed on weekends, say so.
Step 2: Decide who answers
Your choices are voicemail, an on-call staff phone, weekend staff or an after-hours answering service. We compare all four, with the costs, in our guide to covering nights when the front desk can't.
Step 3: Capture the same details on every call
A useful weekend message has the same fields every time, so Monday's callbacks don't start with guesswork.
- Caller name and callback number
- Why they called, in their words
- New or existing patient
- Whether it sounds urgent
- Any insurance question. HaloDesk tells callers whether their insurance is in-network, using your practice's insurance list. Costs and coverage questions go to your team.
Step 4: Put urgent calls at the top
The American Dental Association notes that most dentists reserve time in their daily schedules for emergency patients, and tells patients to visit their dentist or an emergency room as soon as possible in a dental emergency. Keep your own weekend emergency instructions in place.
In HaloDesk's 7:00 AM summary, urgent calls are listed first and tagged URGENT, so your team sees them before anything else.
Step 5: Call new-patient requests back early
Work down the list in order: urgent calls, then new-patient and appointment requests, then everything else. HaloDesk takes appointment requests; your team confirms them when it calls back.
Step 6: Count your own weekend calls
Pull a month of weekend calls from your phone carrier's log and note how many were new-patient or booking calls. Put those numbers into the after-hours call calculator. The result is an estimate, not a forecast.
